How to track tenant payments and outstanding balances

A reliable rent ledger connects each payment to a tenant, a bill, and a date. That makes partial payments and unpaid balances easier to explain.

Short answer

For every payment, record who paid, the amount, the date received, how it was paid, and which bill it covers. Keep the bill total and payments separate. The remaining balance is the billed amount minus the payments applied to that bill.

What belongs in a payment record?

A simple payment entry should include the tenant and unit, bill or billing period, amount, date received, method, reference number when available, and a note for anything unusual. Keep a receipt or proof with the record where possible. This gives you a trail if the tenant later asks what was credited.

Handle partial payments without losing the balance

Suppose a tenant’s bill is ₱9,000 and they pay ₱5,000. Record the ₱5,000 as a payment; do not change the original bill to ₱5,000. The remaining balance is ₱4,000. If another ₱4,000 arrives later, enter a second payment. The history then shows both when the money arrived and how the bill was settled.

Review online payment submissions

A tenant submitted transfer image is a request for review, not a confirmed collection by itself. Match the amount, date, and reference against the payment channel you use. If the transfer cannot be confirmed, leave the bill open while you resolve it with the tenant. Once confirmed, record the payment and issue a receipt.

Check balances at the end of each month

Review each open bill and total the payments applied to it. Check that payments in your bank or cash record have corresponding tenant entries, and that tenant entries have matching money received. Follow up on overdue amounts using the actual balance and billing period, rather than a rough total from memory.

Doing this in RentaDiary

RentaDiary keeps billing and payment history with the tenant record. Owners can record payments, review tenant submitted online payment proofs, see balances, and generate receipts. A tenant portal lets tenants review their billing history. For a broader setup, read our rent and utility billing guide, or see how rent payment tracking and tenant management work in the app.
