Rental property management software
Rental property management software for landlords who still use a notebook
RentaDiary keeps your tenants, bills, payments, and paperwork in one app, so the monthly rent routine takes minutes instead of an evening.
Free plan available. Works on the web and on Android.

Why rental records fall apart
A rental usually starts simple: a few tenants, a notebook, and a chat thread for payment screenshots. Then a tenant pays half, another pays late, a meter reading goes missing, and someone asks for a receipt from three months ago.
The problem is rarely the arithmetic. It is that the pieces live in different places: rent in a spreadsheet, readings in photos, payments in GCash history, agreements in a drawer. Reconstructing a tenant’s history means searching all of them.
Property management software fixes that by tying every bill, payment, receipt, and document to one tenant record. When someone asks what they owe, you open their profile instead of piecing it together.
A monthly routine with RentaDiary
This is the cycle most landlords follow. Each step maps to a screen in the app.
Set up units and rates once
Add your rental units, then enter your electricity rate per kWh and water rate per cubic meter. You only revisit these when a rate changes.
Add each tenant
Record the tenant’s contact details, assigned unit, start date, monthly rent, due day, deposit, and advance payment.
Create the bill
Pick the billing period and due date. For meter-based utilities, enter the current reading and RentaDiary works out the usage and the charge. Add any extra billing items such as internet or garbage fees.
Send the statement
Download the billing statement and send it to the tenant. Tenants with a portal login can also see their bill themselves.
Record payments and issue receipts
When money arrives by cash, GCash, or bank transfer, record it against the bill. Partial payments are fine, and the outstanding balance updates. Generate a numbered receipt if the tenant wants proof.
Follow up on what is unpaid
Filter to unpaid and partially paid bills, then send a payment reminder to the tenants who still owe.

Who RentaDiary fits
RentaDiary is designed for owners who manage their own rentals: a boarding house, a small apartment building, a few doors, or a handful of parking slots. The Free plan supports up to 5 active tenants, Plus up to 20, and Pro up to 100.
- Boarding house and bedspace owners who bill by room and by tenant.
- Apartment owners with a handful of units.
- Landlords who collect rent personally and need a clean payment trail.
- Parking space owners who rent out slots by the month.
- Caretakers who prepare utility bills for an owner and need to show their working.
If you manage hundreds of units across many buildings, a larger property management platform may suit you better.
What it does not do
- It does not process or hold rent payments. Tenants pay you directly, and you record the payment.
- Receipts and statements are payment records, not BIR-registered official receipts or tax invoices.
- It is not a full accounting package. Reports summarize rental income and expenses; they do not file taxes.
- There is no iPhone app. RentaDiary runs on Android and in a web browser.
Frequently asked questions
What is rental property management software?
It is an app that keeps the records a landlord needs in one place: tenants, units, bills, payments, receipts, and agreements. It replaces notebooks and spreadsheets so that balances and history are always up to date.
Can I try RentaDiary without paying?
Yes. The Free plan covers up to 5 active tenants and 10 units, and includes billing, payment records, receipts, agreements, and the tenant portal. You can upgrade to Plus or Pro later.
Do I need a computer?
No. Everything in the monthly routine works in the Android app. The web app is useful when you prefer a larger screen to review bills, print documents, or work from a laptop.
Will my existing tenants have to learn anything?
No. Tenants can keep paying you the way they do now. The tenant portal is optional and just gives them a place to see their bills.
