Parking space rental management

Parking space rental management for owners who bill by the slot

RentaDiary has no separate parking module. What it does have is a flexible billing setup that works well for monthly slot rentals. This page explains exactly how, and where it stops.

Free plan available. Works on the web and on Android.

Parking rentals are billing, not just space

If you rent out parking slots, driveway space, or garage spots by the month, your job looks a lot like running a very small apartment building. Each slot has a price, a renter, a due date, and a payment history that sometimes gets disputed.

The same applies when you charge a parking fee to tenants who already rent a room or apartment from you. The fee needs to appear on the monthly bill and be recorded when paid.

Two ways to set it up

Pick the one that matches how you rent.

  1. Standalone slot rentals: one unit per slot

Create a rental unit for each slot, such as “Slot P-01”, with its monthly rent. Add the person renting it as a tenant with a start date and due day. They get a monthly bill, a payment history, receipts, and an agreement, like any other tenant. Up to three photos per unit can show the location of the slot.

  2. Parking as an extra: use a billing item

RentaDiary includes “Parking Fee” as a starter billing item. Turn it on in Billing Items, set the amount, and add it as an extra charge to the monthly bill of a tenant who also rents a parking space. It sits alongside rent and utilities on one statement.

RentaDiary Android create bill screen with billing period, due date and an other charges section where billing items such as a parking fee can be added
Extra charges such as a parking fee are added under Other Charges (demo data).

A worked example: three slots and one parking fee

Example: monthly parking billing (illustrative amounts)

Slot P-01 renter: monthly slot rent₱1,500.00
Slot P-02 renter: monthly slot rent₱1,500.00
Slot P-03 renter: monthly slot rent₱1,800.00
Apartment tenant: rent ₱8,000 + parking fee ₱1,000₱9,000.00
Total billed this month₱13,800.00

Each renter has their own bill and balance. The amounts are examples only.

If the renter of Slot P-02 pays late, only their bill shows as unpaid. You can send them a payment reminder, and when they pay you record the payment and issue a receipt.

What it does not do

RentaDiary is not parking management software in the strict sense. It does not include:

  • Vehicle or plate number records.
  • A slot map or an availability calendar.
  • Gate, barrier, or access control.
  • Hourly, daily, or pay-as-you-park charging.
  • Online booking or payment.

If you rent slots on a monthly basis and mainly need billing, payment tracking, and receipts, it fits. If you run a pay-by-the-hour car park, you need a different tool.

Frequently asked questions

Does RentaDiary have a parking module?

No. You can treat each slot as a rental unit with its own renter and monthly bill, or add a Parking Fee as an extra charge on an existing tenant’s bill.

Can I bill parking by the day or hour?

No. RentaDiary is built for recurring billing periods, typically monthly.

Can I keep the vehicle plate number?

There is no plate number field. You can put it in the renter’s notes if you want to keep it with their record.

Can I give a renter a receipt?

Yes. Every recorded payment can produce a numbered receipt. It is a payment record, not a BIR-registered official receipt.
