Small buildings do not need enterprise software
If you own a four-door apartment or a small building, most property management systems are more than you need and more than you want to pay for. They assume a leasing office, online listings, and dozens of staff.
What an independent landlord actually needs is simpler: a list of units with their rent, a record of who lives in each, a monthly bill, a ledger of what was paid, and a place to log repairs. That is the scope of RentaDiary.
Your building at a glance
The dashboard shows monthly collections compared with last month, the number of tenants, how many units are occupied, and how much is unpaid. From there, quick actions open tenants, billing, payments, and agreements.
Each unit stores its name, description, rent, electric and water meter numbers, tenant capacity, and up to three photos. That makes the unit list a reasonable record of what you own and what each place is rented for.

A typical month for a six-unit building
Read the meters
If each apartment has a sub-meter, note the current electricity and water readings. Plus and Pro owners can use the meter reading walk to record every unit in one pass, with photos.
Create each unit’s bill
RentaDiary combines the unit rent with the electricity and water charges calculated from the readings and your rates. Add extras such as garbage or parking if they apply.
Send statements
Download each billing statement and send it to the tenant, or let tenants view it in their portal.
Record payments
Log each payment when it arrives. A partial payment leaves an outstanding balance on the bill rather than disappearing into the notebook.
Review the month
Check collected versus unpaid on the dashboard. Plus owners can see monthly income and collection rates in reports, and Pro owners can see overdue balances grouped by age.
