Everything RentaDiary does for landlords, in plain terms
RentaDiary replaces the notebook, the calculator, and the spreadsheet you use to run a rental. Here is each tool, what it is for, and which plan includes it.
The Free plan covers up to 5 active tenants. Plus and Pro add more tenants and tools.

Built around the monthly rent cycle
Most small landlords do the same five things every month: check who lives where, work out each bill, send it, record what comes in, and keep proof. RentaDiary is organized around that cycle instead of around a long list of settings.
You set up your rental units and your electricity and water rates once. After that, each month is a short routine: create the bills, share them, record payments as they arrive, and issue receipts. Every record stays attached to the tenant it belongs to.
Tenants and units
Keep one clean record for every person and every room, apartment, or space you rent out.
Tenant records
FreeName, mobile number, address, start date, monthly rent, due day, deposit, advance payment, and number of occupants, all in one profile.
Rental units
FreeCreate units with a name, description, rent, meter numbers, tenant capacity, and up to three photos. The dashboard shows how many units are occupied.
Tenant portal
FreeTenants log in to see their latest bill and billing history, and can send a payment confirmation for you to review.
Read more in tenant management, or see how it fits boarding houses and apartments.
Billing and utilities
Turn rent, electricity, water, and other charges into one bill per tenant per period.
Monthly bills
FreeSet a billing period and due date. The bill combines unit rent, utilities, and any extra charges into a single total.
Electricity and water
FreeChoose a fixed monthly amount or meter-based billing for each tenant. For meter-based bills, enter the readings and RentaDiary multiplies the usage by your rate.
Billing items
FreeAdd extra charges such as internet, garbage, parking, cleaning, or maintenance fees, and switch water or electricity billing off if you do not charge for it.
Edit and manage billing items
ProChange the amount, name, or on/off state of an extra charge you already set up, or delete it. On Free and Plus you can still open these items, add new ones, and switch Water and Electricity on or off.
Add custom charges to bills
ProType in a one-off charge with its own name and amount while creating or editing a bill. Free and Plus can still add any billing item you have saved.
Bulk billing
PlusCreate bills for many tenants in one pass instead of one at a time.
Meter reading walk
PlusWalk through your property and record every meter, with photos, then bill from those readings.
Details: rent billing and electricity and water billing.
Payments, receipts, and reminders
Know who has paid, who has not, and keep proof of both.
Payment records
FreeRecord cash, GCash, or bank transfer payments against a bill. Partial payments are supported, and each bill shows what is still outstanding.
Payment receipts
FreeEach recorded payment can produce a numbered receipt image to share with the tenant.
Review tenant payment confirmations
FreeTenants can submit proof of an online payment. You check it against your own GCash or bank record, then accept or reject it.
Manual payment reminders
FreeSend a reminder to a tenant who has an unpaid bill.
Automatic payment reminders
ProReminders go out on a schedule without you remembering to send them.
Details: rent payment tracking.
Agreements and documents
Generate paperwork from the records you already keep.

What RentaDiary is not
So you can decide with the facts in front of you:
- It does not collect rent for you. Tenants pay you directly by cash, GCash, or bank transfer, and you record the payment in RentaDiary.
- Its receipts and billing statements are payment records. They are not BIR-registered official receipts or tax invoices.
- It does not read your meters or look up utility rates. You enter the readings and set the rates.
- There is an Android app and a web app. There is no iPhone app at the moment.
- It is not accounting software. Expense tracking and reports help you see your rental income, but it does not replace an accountant.
Frequently asked questions
Is RentaDiary free?
There is a Free plan for small landlords, with up to 5 active tenants and 10 rental units, and it includes billing, payment records, receipts, agreements, and the tenant portal. Plus and Pro are paid plans with higher limits and extra tools. See the pricing section for the current plans.
Does RentaDiary work on a phone?
Yes. There is an Android app on Google Play and a web app you can open in any browser. Both use the same account and records.
Can my tenants use RentaDiary too?
Tenants get their own login to the tenant portal, where they can see their bills and payment history and send a payment confirmation. They do not need to pay for anything.
Is RentaDiary only for the Philippines?
It was built around Philippine rentals, with peso amounts, GCash as a payment method, and room-by-room boarding house billing. You can choose another currency in your profile, so landlords elsewhere can use it too. The app is in English.
